Serves as Program Management Assistant to the CLASS Principal, providing budget, administrative, management, and technical support for efficient AIT/CLASS operations. Performs complex administrative tasks with limited supervision. Supports school operations, language and area studies programs, including budget planning, procurement, contracting, IT, facilities, records management, and administrative support to the CLASS COR and leadership.
Major Duties & Responsibilities:
PROGRAM MANAGEMENT SUPPORT AND FISCAL ADMINISTRATION (50%)
Overall Program Management Support: Provides full administrative and operational support to AIT/CLASS. Oversees contractor and vendor performance and supports daily school operations.
Budgeting: Works with the CLASS Principal to develop the annual budget plan. Monitors funds availability and processes purchases, procurements, and contractual services.
Contracting: Provides administrative and technical support to the CLASS Contracting Officer's Representative (COR) for fiscal and contractual operations, including multi-year, large-scale language instruction contracts. Assists with onboarding, monitoring, inspections, and recommendations to address performance issues.
Procurement: Identifies fiscal needs and executes procurement actions for supplies, equipment, and services, including actions over $5,000. Conducts market research, coordinates with AIT Procurement via Ariba, maintains records, and manages a multi-year BPA with partner universities for language immersion programs.
Program and Event Planning: Plans, budgets, executes, and monitors CLASS programs, events, area studies, and immersion activities. Advises on fiscal strategy and ensures sound fiscal practices.
INFORMATION AND TECHNOLOGY SUPPORT (30%)
IT Help Desk: Serves as primary point of contact for CLASS IT issues. Coordinates with AIT Information Systems Center to troubleshoot OpenNet and non-OpenNet systems. Maintains and operates classroom, conferencing, and instructional technology.
Audiovisual and Conferencing Support: Acts as videoconferencing and telework coordinator, supporting virtual collaboration with the Department, FSI, and other posts using Webex, Zoom, Teams, and related platforms.
Training: Trains staff and students on instructional and education-specific software, online language learning tools, and telework systems.
Online Sites and Records Administration: Manages CLASS NEN (DIN), OpenNet SharePoint, and shared drives. Ensures data accuracy, PII protection, and records compliance. Leads FOIA compliance as required.
Database and Materials Management: Maintains and archives printed and electronic curriculum and instructional materials, supporting CLASS and global Chinese language learners through shared repositories.
AIT/CLASS GENERAL SERVICES (15%)
Property Management: Manages government-owned property, conducts inventories, and maintains accountability records.
Library and Archiving: Oversees a library of 6,000+ English and Chinese titles, including rare materials. Conducts inventories, safeguards collections, and procures new resources.
Physical Plant: Coordinates facilities maintenance and repairs with AIT Facilities Management, including preventative maintenance and specialized instructional spaces.
Security and Emergency Preparedness: Maintains fire safety and emergency readiness, ensures compliance with RSO and Department requirements, and coordinates training and drills.
ADMINISTRATIVE SUPPORT (5%)
Provides backup support to CLASS leadership and administrative staff. Studies and applies relevant Taiwan laws, FAM/FAH, and Department regulations. Trains staff on applicable policies and provides Chinese-to-English translation as needed
